Keep It Stress-Free

Before | During | After Your Study Abroad

The International Office is responsible for the administration and financial management of the Erasmus+ program. On this website, you will find more information about your study abroad - before, during and after your stay abroad. Academic support is provided by the department.

In addition to the following information, there is a Checklist for all Erasmus+ Outgoings in the academic year 2024/2025. The Erasmus+ mobility grant can only be issued if all items in this checklist are carried out in due time. All Erasmus+ documents must be completed electronically and sent to the International Office with all necessary signatures.

You have successfully applied for an Erasmus+ place in your department and sent the online application form to the International Office. If you have not yet done so, you will find all the information you need in the application section.

There are special funding and support options for students with disabilities and/or chronic illnesses, for parents who would like to study abroad with their child/children, first-generation students and working students. Find out more about the Equal Opportunities in the Erasmus+ program.

Information Event

There is a mandatory information Zoom-Webinar for all Erasmus+ outgoings. During the event, you will receive important information on all necessary documents and the EU requirements concerning the Erasmus+ program. You are invited to ask all questions you have regarding your Erasmus+ stay. The event for all outgoings (academic year 2024/2025) will take place:

  • 12 June 2024 (outgoings starting their study abroad in the winter semester 2024/2025)
  • 30 October 2024 (outgoings starting their study abroad in summer semester 2025)

Time: 11:00 a.m. to 12:30 p.m. (students will be informed by E-Mail and receive the Zoom-Link as well)

Scholarships and Loans in Germany

Students entitled to BAföG can claim AuslandsBAföG for their Erasmus+ stay. The Erasmus+ mobility grant and BAföG are not mutually exclusive. Students can send the required BAföG forms via e-mail to the International Office.

Students who receive scholarships and/or loans in Germany can maintain these during their study abroad. However, double funding from EU funds is not permitted!

Checklist for Your Stay Abroad

Important information about topics such as AuslandsBAföG, leave of absence (Beurlaubung), recognition of credits, intercultural competencies, international engagement and much more can be found in the comprehensive Checklist for stays abroad, which you should read carefully.

Travel safety

The decision to travel to risk areas lies with you and TU Dortmund University, taking into account the regulations of the Erasmus+ program, the institution's internal strategies and the respective crisis management. This also means that you must inform yourself about the current situation in the host country on the website of the Federal Foreign Office and consult with the International Office before you begin your stay abroad.

Changing Courses

You can change your course selection after your arrival at the host university. This is not a problem at all. It is important that you write down all changes in the Learning Agreement under "During the Mobility" and discuss these changes with your Erasmus+ Departmental Coordinator and the contact person at your host university. Both universities have to sign off on these changes so that a recognition of credits after your return is possible.

Extending Your Stay by One Semester

If you want to extend your stay by one semester, it is important to know that you can only extend if you started your Erasmus+  stay in the winter semester. This is because the mobility must take place within one academic year.

Please contact your Erasmus+ Departmental Coordinator at TU Dortmund University to find out whether an extension for the summer semester is possible. Make sure that your coordinator and your contact person at the host university agree on this extension. Please contact Hella Koschinski to be officially accepted in the Erasmus+ program for the second semester.

Turning in Your Final Erasmus+ Documents

In order to receive the last payment of the mobility grant (and in order to be entitled to the grant paid so far), the following documents must be sent by e-mail to the International Office no later than four weeks after the end of your study abroad.

  • Certificate of Attendance
  • Testimonial
  • Transcript of Records (host university)
  • Recognition Outcome
  • OLS-Online-language test (not mandatory at present)
  • Online-Survey (EU-Survey)
  • Application for hardship case (less than 15 ECTS in your Transcript of Records)

Recognition of Credits

Within the framework of the Erasmus+ Program, TU Dortmund University has committed itself to recognize the study achievements from abroad as agreed in the Learning Agreement before and, if applicable, during the study abroad.

If your department requires a grade conversion from the International Office, you can submit an application as described in this checklist. If there are problems with the recognition of your grades (despite previous arrangements in the Learning Agreement), please contact the complaints manager in your department .
